Information we collect
When you contact us through our website, we may collect:
your name;
your email address;
your phone number, if you give it;
the organisation you work for, or details of your charity (such as its name, Charity Commission number, location and what it does) if you register for Project Ayllu;
any other information you include in your message.
We only ask for information that is reasonably necessary to respond to your enquiry or provide our services.
How we use your information
We use your information to:
respond to your enquiry;
discuss or prepare work you may ask us to undertake;
provide our services if you become a client;
maintain appropriate records of our communications; and
protect our website and systems from spam, misuse and security threats.
Our lawful basis will normally be our legitimate interests in responding to enquiries and operating our consultancy. Where you ask us to take steps before entering into an agreement, or where you become a client, we may also process your information because it is necessary for a contract.
Forms and service providers
When you send a form on our website, your message is stored securely in our website’s database, which is hosted by Cloudflare, and sent to us by email through our Microsoft 365 account. We also email you a copy of what you sent.
Our forms are protected by Cloudflare Turnstile. Cloudflare may process technical information about your device, browser and connection to determine whether a submission is legitimate and to protect the website from automated abuse.
These providers process information on our behalf or provide services that enable us to operate the website and respond to enquiries.
Cookies and analytics
We do not use advertising cookies, and our website does not set cookies to track you.
To understand how our website is used, we measure visits ourselves without cookies or storing anything on your device. We record the pages viewed, how long they are viewed, the website or campaign link that brought you here, your approximate location (country and town), and your type of device and browser. We do not store your IP address. Each visitor is given an anonymous code that changes every day, so we cannot recognise you from one day to the next or follow you across other websites. If your browser sends a Global Privacy Control or Do Not Track signal, we do not record your visit at all. We keep this information for up to 13 months.
We also use Cloudflare Web Analytics to measure how quickly our pages load. It does not use cookies or collect personal information.
The website and its service providers may use cookies or similar technologies where they are strictly necessary for security, fraud prevention or the basic operation of the website.
How long we keep your information
We normally retain unsuccessful or general enquiries for up to 24 months after our last communication.
If you become a client, we may retain relevant information for longer where this is necessary to provide our services, maintain business records, resolve disputes or comply with legal and tax obligations.
Information that is no longer required will be deleted or anonymised where reasonably practicable.
How we protect your information
We use reasonable technical and organisational measures to protect personal information. These include encrypted connections, access controls and limiting access to people who need the information for their work.
No website or electronic storage system can be guaranteed to be completely secure.
Sharing your information
We do not sell your personal information.
We may share information with service providers that help us operate our website, communications and business systems, including Microsoft and Cloudflare. We may also disclose information where required by law or where reasonably necessary to protect our legal rights.
